Post the payment reconciliation journal
This page describes what happens when you post the payment reconciliation journal with 365 business Banking: partial posting, new customer and vendor bank accounts, pending lines.
Posting is the last step of the daily workflow. 365 business Banking extends the standard posting. It checks beforehand which lines must not be posted, offers to move open lines to a new journal, and processes the additional setup of the lines during posting.
Standard functionality in Business Central
In the standard, you post the payment reconciliation journal with Post Payments and Reconcile Bank Account or with Post Payments Only. With the first action, the payments are posted and the bank account ledger entries are reconciled directly. With the second action, the bank account ledger entries remain open for a later bank account reconciliation. The posting preview shows beforehand which entries will be created. What 365 business Banking adds
- Partial posting: Unapplied lines are moved to a new journal on request, so that they do not block the posting.
- Protection against provisional transactions: A pending line with an application is not posted.
- Posting setup, VAT and deferral from the line, see Posting setup and clearing accounts and Deferrals.
- Special cases: Collective payments of payment groups are distributed to the members, returned direct debits settle their collection, the transit account is cleared. Lines with sales documents, collective payments, returned direct debits and transit postings can be in one journal together with ordinary lines. The posting preview and posting process all lines in one run, in any order.
- New bank accounts of your customers and vendors from the IBAN of the payment.
Move unapplied lines
A payment reconciliation journal often contains lines you cannot clarify yet, such as a payment without a recognizable payer. So that you can still post the remaining lines, 365 business Banking checks the following on posting:
- If no line is applied, posting stops with "There is nothing to post."
- If there are lines without any application, the following prompt appears: "There are unapplied lines in the payment reconciliation. Do you want to transfer them to a new payment reconciliation journal?"
- With Yes, these lines are moved together with their bank transaction details to a new payment reconciliation journal of the same bank account. The Pmt. Rec. Journal Creation setting of the bank account card applies. With Daily, Weekly or Monthly, each line is moved to the journal of its period. With Per Bank Statement, the lines remain assigned to their statement. They are moved to a journal with the same statement number and the next counter:
2026/134becomes2026/134-1, and a further partial posting2026/134-2. This journal ends at the closing balance of the statement and starts with the account balance after the posted part. The applied lines are then posted. - With No, nothing is moved, and posting continues as in the standard.
No setup is required for this.
Partially applied lines
A line that is only partially applied has a difference, but it is not moved. It remains in the journal with its application and is handled as in the standard. If it is to be moved to the new journal, remove its application before posting.
Post bank statements in your bank's order
On bank accounts with Per Bank Statement, every statement starts with the closing balance of the previous one. If you post a journal while an older statement of the same bank account is still open, Business Central asks: "Bank statement … of … is not posted yet, and there are … open bank statements of this bank account in total that are older than …. … Do you want to post … anyway?" Yes posts, No cancels. The order is a recommendation, not a block. You can post an unambiguous statement first and a statement with open questions later.
Create bank accounts
If Create Bank Accounts is turned on in the Banking Setup, 365 business Banking creates new bank accounts of your business partners on posting. For each posted line with account type Customer or Vendor and a counterparty IBAN, the following applies:
- If the IBAN is on the Own Bank Accounts page, nothing is created.
- If the customer or vendor already has a bank account with this IBAN, nothing is created.
- Otherwise, a new customer bank account or vendor bank account is created with the first free code BANK001, BANK002 … and status New. Name, account number, IBAN and SWIFT code are taken from the bank transaction details.
A new bank account has the status New. Before you pay to such an account, check and release it, see Recipient bank accounts.
Default
Installing 365 business Banking sets Create Bank Accounts to Yes and Bank Account Reconciliation Line Posting to Direct Posting, once per company. A later reinstallation or update does not change your settings.
If you choose Use Clearing Account instead, the clearing account replaces the G/L account of the line, and the expense or revenue is posted to the purchase or sales account of the general posting setup, see Posting setup and clearing accounts.
Pending lines
Pending bank entries have been announced by your bank but not booked yet. Amount and date can still change. For this reason, they are never posted:
- If a pending line has an application, posting stops: "Line … is an entry your bank has not booked yet, so it cannot be applied or posted. It is replaced automatically as soon as your bank reports the booked entry." Remove the application of the line.
- Without an application, it does not prevent posting. It is treated like any unapplied line and can be moved to the new journal.
What else happens on posting
- Last Statement Date on the bank account card is moved forward to the statement date of the posted journal, but never back. If you post period journals in any order, the latest date is kept.
- For PSD2/XS2A via finAPI, the posted transactions are reported as processed to the service. In sandbox environments, this report is not sent.
- The bank transaction details are kept, so that the Bank Transaction FactBox also shows the origin of a payment in the posted entries. The retention period is governed by retention policies.
Troubleshooting
