Direct debit and payment collection
SEPA direct debit and collection via payment service providers in 365 business Banking: from mandate and prenotification to returns.
With 365 business Banking, you collect payments from customers in two ways: by SEPA direct debit through your bank based on a signed mandate, or through a payment service provider such as PayPal, Stripe or Adyen with a stored payment method. This page describes both methods.
Routes at a glance
SEPA direct debit process
- Mandate: The customer signs a SEPA direct debit mandate for one of their bank accounts.
- Suggestion: In the cash receipt journal, Suggest Direct Debits creates lines for the due invoices, with a collection date that meets the bank's lead time and leaves the payer the prenotification period.
- Prenotification: The payer is informed of the amount and collection date. See Direct debit prenotification.
- Carry out: Carry Out Direct Debit hands the direct debits to the bank and advances the mandates' counters.
- Post: The receipt is posted once the lines have the status Completed. Carry Out Direct Debit and Post performs both steps in one operation with every bank connection. Lines that still wait for the bank's status report (EBICS) stay in the journal with a notice.
- Return: You assign a returned direct debit in bank reconciliation. See Returned direct debits.
Behavior per bank connection
| Bank connection | SEPA direct debit | What happens after carrying out |
|---|---|---|
| PSD2/XS2A via finAPI (SEPA Bank Account) | depending on the bank | authorization in your bank's web form, for example with a TAN |
| EBICS (SEPA Bank Account (EBICS)) | yes | pain.008 file is submitted with your signature; status Pending until the bank's status report is received. See Payments via EBICS |
| camt/pain file (Bank Account (pain File Export)) | yes, only in the SEPA payment scheme | pain.008 file to upload in online banking; Completed only means that the file was created. See Export a payment file as a pain file |
| Payment service providers (PayPal, Stripe, Adyen) | not available | collection with a stored payment method instead of a mandate: when posting, from the invoice, in batches or in the cash receipt journal. In the cash receipt journal, Carry Out Direct Debit collects every line whose posting date is reached; the SEPA checks (mandate, euro, partner type, lead time, prenotification, VoP) do not apply, instead the provider's customer bank account needs a successful payment authorization. See Collection via a payment service provider and Collect payments via payment service providers |
Which types of direct debit (CORE, B2B, collective) your bank allows for an account is shown in the Capabilities FactBox on the bank account card, see Bank account capabilities. Via EBICS and file, you carry out CORE and B2B direct debits separately, because a pain.008 file contains only one of the two schemes. See Sequence type and scheme in the pain.008 file. For an overview of all functions per connection, see Bank connections.
