Retrieve PayPal transactions

How 365 business Banking imports the movements of your PayPal account, including fees, into the payment reconciliation journal.

Retrieve transactions

In the payment reconciliation journal of the PayPal account or in the list of payment reconciliation journals, choose Retrieve Bank Transactions. Business Central queries PayPal transaction search month by month from the retrieval start of the bank account and creates a line per movement. Movements are payments, refunds, chargebacks, withdrawals to your bank and fees. The payment reference is made up of the subject, note, PayPal invoice number (Inv: …), and the payer's name and email address.

Business Central uses the Transaction ID to recognize movements that are already in a payment reconciliation journal or posted, and does not create them twice. Movements without an amount are not imported. If the retrieval finds no new movements, the message also states the number of movements that were skipped.

As with any bank account, you can automate the retrieval.

Why large periods are split

PayPal returns at most 10,000 transactions per query. If a period reaches this limit, Business Central splits it automatically and queries the sub-periods one by one.

Fees

PayPal shows the fee of each transaction separately. 365 business Banking creates it as a separate line so that you can post it separately from the payment. The payment reference reads "Fee for transaction", followed by the transaction ID of the payment. You can post fees with a reconciliation rule, for example: Payment service provider fees.

Apply

You apply the payments in the payment reconciliation journal. For many payments with the same amount, use direct matching via transaction ID or payment reference.

Troubleshooting

"Access denied by PayPal API (401). …"PayPal rejected the sign-in. Check Client ID and Client Secret in the PayPal Connection Setup and choose Authenticate.
"Forbidden by PayPal API (403). …"The app lacks the Transaction Search permission. See PayPal.
"PayPal returned too many records (>10,000) for the requested date range. …"The limit is still exceeded after the automatic split of the period. Contact support with the debug ID from the message.
"No new transactions found for PayPal account."There are no new movements since the last retrieval. All available movements are already in a payment reconciliation journal or posted.
