Post payment service provider fees
How 365 business Banking recognizes fees from PayPal, Stripe, Adyen and other providers, and how to post them with reconciliation rules.
Payment service providers usually deduct their fees directly from the payment: the customer pays EUR 100.00, you receive EUR 97.10. If only the net amount were in the payment reconciliation journal, the invoice for EUR 100.00 could not be applied completely.
How fees are shown
365 business Banking creates the fee as a separate line next to the payment. The payment appears with the full amount in the payment reconciliation journal and settles the invoice completely; the fee appears as a negative line next to it and is posted to a G/L account.
For a fee line from PayPal, Stripe, Adyen, Mollie, Klarna, Shopify or Amazon Pay, Is Fee Related is selected in the Signal Flags group of the Bank Transaction Details page, and the Transaction field in the Classification group shows Fee. The Bank Transaction FactBox also shows the classification. Payouts from the provider to your house bank account can be classified as PSP Settlement.

Post fees with reconciliation rules
A reconciliation rule that is set up posts every fee automatically to your account for bank charges.
- In the payment reconciliation journal, select a fee line and choose Reconciliation Rules. Business Central creates a rule prefilled from the line.
- Narrow the rule down:
- Bank Account No.: the provider's bank account,
- Detailed Bank Transaction Filters: Is Fee Related = Yes,
- or a Mapping Text the provider writes into every fee line.
- Under Balancing Account, choose Bal. Account Type G/L Account and your account for bank charges; enter Posting Type, posting groups and a Posting Text if needed.
- Close the rule. Business Central asks whether to re-apply the reconciliation rules to all lines. Confirm the question.
After that, every retrieval assigns the fees automatically (Match Confidence High - Reconciliation Rule). All fields are described in Reconciliation rules.
Charge fees to the customer
If a fee should be posted to the customer instead of a G/L account, choose Bal. Account Type Customer in the reconciliation rule.
Payout to your house bank account
When the provider transfers the balance to your house bank account, the payout appears twice: as an outflow on the provider's account and as an inflow on your house bank account. Post both sides against the same G/L account for cash in transit, for example with one reconciliation rule for the provider's account and one for your house bank account. Once both are posted, the cash-in-transit account is balanced again.
