Switch from another EBICS program
This page describes how to switch from SFirm, Profi cash or StarMoney to 365 business Banking via EBICS, with parallel operation and without interruption.
Most companies that connect 365 business Banking via EBICS already use EBICS, for example with SFirm, Profi cash, StarMoney or their bank's corporate portal. In this case, you set up a new EBICS participant in Business Central and initialize it as described in Set up an EBICS participant, with a new key pair and a new initialization letter.
Applies to: EBICS
Existing keys
Your existing keys cannot be taken over
Business Central creates its own keys. There is no function to import a key file, a key export or a QR code export from another program. Send Protocol Keys with Signature (HSA) is not suitable for this either: that order is signed with a signature key that is already known to the bank and that Business Central does not have.
What to clarify with your bank beforehand
- A second user ID (recommended). Your bank sets up another participant under the same partner ID. The previous program and Business Central then run in parallel, and you switch off the previous program only once all processes work in Business Central.
- Alternatively, re-initialize the same user ID. In this case, your bank replaces this participant's keys, and the previous program can no longer send orders. Only choose this option if your bank does not issue a second user ID, and plan the switch for a day without a payment run.
- Whether your bank offers HSA or H3K. Both procedures can save you an order, but usually not the first signed letter.
- Which message formats your contract provides for (pain.001 and pain.008). They are entered on the participant under Credit Transfer Format and Direct Debit Format.
You do not need to request your bank's hash values again. They are in the letter with the EBICS access data that you already have, and they do not change because of the switch.
Procedure
- Apply for a second user ID, or agree the option from point 2 with your bank.
- Create the participant in Business Central.
- Run Create Keys, Send Signature Key (INI) and Send Protocol Keys (HIA), choose Print Initialization Letter, sign the letter and send it to the bank.
- Wait until the bank has activated the participant, then choose Download Bank Keys (HPB).
- Once the status is Ready, connect the bank accounts as described in Connect a bank account via EBICS.
- Only then switch off the previous program.
Before you switch off the old program
| Check | Reason |
|---|---|
| Open orders in the Distributed Electronic Signature | A submission still waiting for its second signature is approved there, not in Business Central. Process these orders first. |
| Standing orders you manage there | Via EBICS, Business Central neither shows nor sets up standing orders. Standing orders set up at your bank continue to be carried out unchanged. Continue to manage them there or in the corporate portal. |
| Bank statements not yet fetched | EBICS usually delivers a statement only once, and there is no start date with which a gap could be closed afterwards. Statements that the previous program has already fetched are not delivered again. Therefore, fetch open statements in the previous program before switching, or clarify with your bank whether they are still available for the new participant. |
| Payment files in progress | A submitted payment is carried out by the bank regardless of which program submitted it. Follow its status in the program through which you submitted it. |
Plan sufficient time for parallel operation
Compare the bank statements and one payment run for a week. The switch is complete when both match.
